Find answers to common questions about how zFairs works-from getting started and inviting your team to judging, awards, registration, and more.

Where do I begin?

Start by clicking Create My Event at the top of zFairs.com. This will take you through a setup wizard to get your event management started.

How long will it take?

Initial setup only takes 5 minutes. From there, depending on what features you need, set up can take some time. However, you can log in and out as many times as you need to work at your convenience.

Can I invite others to help set it up?

Yes! You will need to sign in as admin. In the tabs at the top of the page is an option to Create Account. Picking the Staff option will allow all who are registered as staff to be able to make edits to the zFairs account. Original Admin can select what type of access Staff members have, including custom staff roles with page and action grants.

How many admin/staff can I have?

As many as you want! Staff and Admin can have different access settings set up by the original moderator. You can also define custom Staff roles so each helper only sees the pages and actions they need.

Can I schedule judging?

Yes! When setting up judging options, you can create dates and times when judging will take place and when it is closed. You can also assign submissions to particular judges, auto-assign with mix rules (school, industry, teams, gender, Title 1), let judges pick preferred divisions, and reload your last auto-assign settings.

Can I assign awards?

Yes! We have certificates you can print out too! There is also an option to advance winners to the next stage in the competition. Awards night now includes a 16:9 slideshow with winner reveals and a recap, plus optional name pronunciation clips.

Can I manage special awards?

Yes! Our settings allow you to manage different types of awards, and allows you to manually, or automatically, have these awards assigned to participants. You can show sponsor names on the special award nomination page, and bulk-import special awards.

Do you accept POs?

Yes, we do! Please send all Purchase Orders (PO) to support@zfairs.com with the corresponding invoice.

Can I set up my own questions?

Yes! zFairs allows customizable questions for registration, judging, and entry requirements to be added for each individual role. Custom questions can include conditional follow-ups, and Flex Flows can be published as templates for other events to install.

Can I reuse a registration flow on another event?

Yes. Owners can publish a Flex Flow as a template. Other events install a snapshot: use it as-is (structure stays locked; you still set local name, dates, menu, password, and notify emails) or copy it and edit everything. You can convert a locked install to a copy later, or re-install to pick up template updates.

Can registration be private?

Yes. Flex Flows support private registration, so only people with the link and any password you set can sign up. You can also bulk-invite users from a CSV with an editable preview, or let teachers bulk-register their students.

Can I limit how many students a school registers?

Yes. School registration limits can include a bonus for schools that sponsor judges. Teachers can also bulk-register students within those limits, and you can generate school invoices from Invoice Manager.

Can I sell sponsorships?

Yes. Set up store sponsorship tiers with guest checkout so sponsors do not need an account. Publish a public Sponsors page, and optionally show sponsor names on special awards.

Can I schedule bulk emails?

Yes. The bulk mailer supports scheduled messages, participant filters and groups, unfinished Flex Flow reminders, and a History tab with delivery details so you can edit and resend.

Can I see the judge’s scores after they enter them?

Yes! Not only can you see the scores, but you can also review feedback given by the judge to the participant before anything is submitted to the participant. Category captains can refresh as scores come in, and you can see when a judge is on a project rubric, not only in the video room.

How do participants register?

Participants can register by navigating to the website by the link provided. They then can choose the Create Account option on the homepage. There will be a registration wizard to guide them through the process. Teachers and coordinators can also use an entry dashboard to follow paperwork and submissions.

Can teachers view their student’s information and approve their paperwork?

Yes! We have a very handy paperwork review. Codes are assigned to paperwork types to easily navigate which forms have been uploaded by the student, and it also shows who still needs to upload forms. Form packets appear in the participant paperwork menu, and teachers get an entry dashboard with status colors and missing-form abbreviations.

Is the information saved from year to year?

Yes! You can opt for specific information to be saved, or deleted, so that your event will be ready to go for the next event.

Can participants make changes to their submission after they have completed registration?

Participants have access to edit submissions until the allotted cut off date. You decide what that date is. They can also leave an event themselves when you allow it, and link or unlink entries after registration.
